We are seeking a highly organised and proactive Administration Officer to provide vital support to the Engineering & Infrastructure Department - covering maintenance, operations, engineering, and capital projects.
This role is central to ensuring smooth logistics, efficient communication, and operational alignment across a variety of workstreams.
You will be part of a collaborative administration team, supporting leaders and staff while coordinating travel, logistics, correspondence, and reporting. With variety, responsibility, and daily engagement across multiple stakeholders, this role offers the opportunity to make a meaningful impact in a supportive and inclusive environment.
This is a Monday-Friday 12-month contract opportunity to work with a tier 1 mining asset owner.
Key Responsibilities
- Provide high-level administrative support to departmental leaders and teams
- Coordinate all travel and logistics (flights, accommodation, itineraries, expense tracking ect.) to enable effective workforce mobilisation and project delivery.
- Organise and manage logistics for meetings, site visits, and departmental activities, ensuring alignment with operational schedules and safety requirements.
- Prepare reports, presentations, agendas, minutes, and correspondence using business software applications (MS Office Suite).
- Manage incoming communications (calls, visitors, mail, emails) and ensure timely responses or redirection.
- Maintain accurate records, departmental files, calendars, and diaries.
- Oversee service requests and stakeholder interactions, ensuring timely resolution and support.
Key Performance Objectives
- Seamless Travel & Logistics Coordination – Deliver accurate, timely, and cost effective travel arrangements that meet operational and project requirements.
- Operational Efficiency – Provide proactive administrative support that enables leaders and teams to focus on priorities while ensuring smooth departmental operations.
- Stakeholder Engagement & Prioritisation – Build strong relationships, effectively manage competing priorities, and use sound judgement to balance urgent requests with long-term needs.
Key Skills and Qualifications
- Strong organisational and prioritisation skills, with the ability to manage competing demands.
- Excellent verbal and written communication, with confidence to engage across diverse stakeholders.
- Proficiency in Microsoft Office and other business software applications.
- Experience with travel coordination, logistics, and expense management (highly regarded).
- Collaborative team player with the ability to lead by example and support colleagues.
- Proactive, adaptable, and solution-focused mindset.
- Previous mining or heavy industry experience not required transferable skills are welcome.
